The Manager, Medical Records (ROI) collaborates with our third party medical records vendor and organization leadership to ensure that medical record requests received are completed timely, accurately, and follow the correct process.

• Partner with the third party medical records vendor to ensure that they receive any subpoenas that are served to our registered agent.
• Work with the Center of Operations Director (COD) to complete any questions that were received with the subpoena but submitted to the medical records vendor without being answered. Confirm
with VP & Senior Counsel for Concentra that questions are completed and documents are signed before returning them to the medical records vendor.
• Responsible for being a liaison between the third party medical records vendor and the center to ensure that any requests sent to the vendor, either in error or directly, is sent back to the center for completion (Gov/COC/physician forms/patient requests, etc.)
• Track FAA (Federal Aviation Administration) investigations and make sure they are completed by the center timely.
• Responsible for sending and payments/checks that was received with a request to theappropriate colleague(s) in the Accounting department.
• Accountable for participating in weekly calls/meeting about new center openings, closures, or relocations.
• Communicate with our third party medical records vendor to have them update fax cover sheet information when there is a change with the center’s information. Responsible for uploading the new fax cover sheet and ensuring that it has been added to the portal.
• Save and/or send any requested records to the appropriate government agencies and/or courthouses, as needed.
• Process any third party medical record requests received by mail, email, registered agent or fax.
• Assist centers with questions, mainly on medical records requests or depositions.
• Responsible for printing out the Concentra Facility Roster on a monthly basis and distribute it to the third party medical records vendor and appropriate office personnel.
• Prioritize and respond timely to attorneys, copy services calls, emails on status of past due notices, and no requests.
• High School Diploma or GED
• 1-2 year of medical records experience

• Ability to make decisions or solve problems by using logic to identify key facts, explore alternatives, and Outstanding customer service skills as well as the ability to deal with people in a manner which shows tact and professionalism
• The ability to properly handle sensitive and confidential information (including HIPAA and PHI) in accordance with federal and state laws and company policies
• Proficient in all Microsoft Office programs
• Strong organizational skills with ability to manage multiple tasks, prioritize, and meet deadlines
• Excellent interpersonal and communication skills, both written and oral
• Knowledge of Datavant, or a related vendor, is highly desirable, but not required
While performing the duties of this job, the employee is continuously sitting for extended periods, occasional walking and standing. May frequently utilize hands and fingers for typing, flex or extend wrist to perform other job-related tasks. The employee is frequently required to use hands and fingers to feel, handle, or operate PC, office equipment and/or other equipment. Due to the nature of this position, an employee can expect heavy computer usage requiring wrist flexion/extension for at least 8 hours per day.
Occasional stooping, pushing, pulling, reaching, or overhead reaching, and climbing in the performance of work. The ability to hear and understand with clarity and detect sound, and have conversations with staff, customers, management, etc. Hearing within the acceptable range for telephone and in-person contacts.
Normal or corrected vision to acceptable levels for office work. The ability to lift/carry up to 10 pounds.
